Recording Secretary

Role Summary:

The Secretary is responsible for recording and archiving all Executive Board Meeting Minutes and the Chapter Board Meeting Minutes.

Duties and Responsibilities

  • Attend and participate in all board of directors' meetings
  • Keep records of all proceedings, actions, and chapter board meetings.
  • Take notes during both the Executive Board Meeting and Chapter Board meetings. Send minutes to board members.
  • Document all action items in the meeting minutes, as well as enter them in to the excel file for tracking.
  • Track time during chapter meetings to ensure meetings is kept on schedule.
  • Maintain archive of chapter board meetings and hand over to chapter historian.
  • Maintain and deliver all permanent records to successor. Provide guidance and training to successor.
  • Support board activities and programs that provide value to our members, education providers, partners, and sponsors, as well as compel them to engage with us

Required Qualifications

  1. Current chapter member in good standing
  2. High energy, positive, “can-do” attitude, flexibility, teamwork, and attention to detail; high degree of initiative
  3. Strong written, verbal, and electronic communication skills
  4. Able to report status against the plan, regularly

Desired Qualifications

  1. Proficient in Microsoft Office
  2. Strong leadership and relationship management skills
  3. Keen attention to detail as well as solid project management skills
  4. Demonstrated ability to collaborate with subject matter experts
  5. Knowledgeable in content management software (preferred: Joomla, Google Docs), email marketing (preferred: Constant Contact) and/or social media software (preferred: LinkedIn, Twitter, Facebook)

Est. Hrs/Month = 10 - 12 hours/month
