Director of Meetings Job Description
Role Summary:
The Director of Meetings leads the team responsible for speaker relationships and meeting planning/execution. This Director schedules speakers at least six months in advance, on a rolling schedule
Duties and Responsibilities
- Strategic planning of monthly meeting topics, using feedback forms and other means
- Sources, engages, and supports speakers for the meetings
- Coordinates topics with Director of Sponsorship to assure there is no conflict between sponsors and presenters
- Vettes speakers for qualification by various means, including history, credentials, conversation, and email
- Vettes speaker presentations prior to meeting
- Engages speaker using speaker contract, assuring speaker is clear regarding expectations and opportunities
- Communicates with Director of IT, Director of Marketing, and others, in support of promoting speakers and meetings, including any speaker dietary requirements
- Attends meetings or arranges for a replacement, hosting speaker at the event
- Obtains and presents speakers with honorarium following presentation
- Responsible for feedback forms and communicating the results to the Board
- Creates and maintains a backup plan, should a speaker, at the last minute, be unable to present
- Provide routine updates at the board meetings
Required Qualifications
- Current chapter member in good standing
- High energy, positive, “can-do” attitude, flexibility, teamwork, and attention to detail; high degree of initiative
- Able to report status against the plan, regularly
Desired Qualifications
- Proficient in Microsoft Office
- Strong leadership and relationship management skills
- Keen attention to detail as well as solid project management skills
- Demonstrated ability to collaborate with subject matter expert
